Billing & payments
TheWashCRM has two separate money flows, and operators sometimes confuse them. This page explains both.
Your subscription to TheWashCRM
You pay TheWashCRM a flat monthly (or annual) subscription based on your plan tier. This covers software access — the dashboard, booking page, customer database, the works. Plans:
- Starter — $99/mo. 1 location, 1 van.
- Growth — $249/mo. 3 locations, 5 vans, plus memberships, drip campaigns, custom domain, advanced pricing.
- Pro — $499/mo. 10 locations, 20 vans, plus multi-operator access, advanced analytics, API access, priority support.
Annual plans give you two months free (pay for 10, get 12). Switch any time from Settings → Account → Billing.
Free trial
New signups get a 14-day free trial. Your card is collected at checkout but not charged until the trial ends. Cancel anytime before day 14 for no charge.
Failed payments
If a subscription payment fails (expired card, insufficient funds, etc.), Stripe retries up to 4 times over ~7 days. Your account stays fully active during this period. You can update your payment method anytime from Settings → Account → Billing.
If retries don’t recover the payment:
- Day 7: account moves to read-only. Your public booking page is disabled. The dashboard still loads so you can fix billing.
- Day 30: account is suspended. Data is preserved for 90 days, then deleted unless you reactivate.
You’ll receive email warnings at each stage. Update your card at any point to clear the dunning state immediately.
Customer payments to you
When a customer books a wash on your page and pays, the money goes directly to your Stripe account — not through TheWashCRM. We use Stripe Connect to facilitate this. We never hold your customer funds.
This means:
- Stripe’s standard processing fees apply (2.9% + 30¢ per card transaction in the US). TheWashCRM doesn’t add a platform fee on top.
- Customer refunds are issued from your Stripe balance, not from us.
- Disputes (chargebacks) are handled by you in your Stripe dashboard. We’ll surface alerts when they happen but the response is yours to file.
- Payouts from Stripe to your bank follow Stripe’s standard payout schedule (typically 2 business days for US accounts).
What happens if my Stripe account isn’t set up?
Your booking page will show a “coming soon” banner and won’t accept payments until Stripe Connect is active. Customers can’t book until you’ve completed the Stripe onboarding steps.
Common confusions
Q: Why are there two Stripe accounts?
TheWashCRM has its own Stripe account for billing your subscription. You have your own Stripe account (via Stripe Connect) for receiving customer payments. They’re separate and only one is yours.
Q: Where does my money show up?
Customer payments hit your Stripe account immediately, then payout to your bank on Stripe’s schedule (~2 business days). View balance and payouts at dashboard.stripe.com.
Q: Can I get an invoice for my TheWashCRM subscription?
Yes — from Settings → Account → Billing, click View invoice history. Stripe sends a PDF receipt to your billing email automatically each month.
